What the System Handles
Stock Transfers With Accountability
Every transfer has a sender, a receiver and an in-transit state. If ten cartons leave branch A and eight arrive at branch B, the system shows the gap and who scanned what, with timestamps.
Stocktaking With Barcode Scanning
Full and cycle counts using ordinary USB or Bluetooth scanners, or the camera on a phone. Count sheets freeze expected quantities, so variances are calculated against a snapshot, not a moving target.
Reorder Points and Purchase Suggestions
Minimum levels per item per warehouse, with a daily suggestion list of what to reorder and from which supplier. You approve the list; the system drafts the purchase orders.
Landed Cost Tracking
Freight, customs and clearance charges are spread across a shipment by value, weight or quantity, so item cost reflects what you truly paid. Margin reports stop lying to you.
Batch, Expiry and Serial Numbers
Where your goods need it (foodstuffs, spare parts, electronics), we track batches with expiry dates or individual serials, and block dispatch of expired or already-sold units.
Connections to What You Already Run
We integrate with your accounting package, POS or online store (WooCommerce included) through their APIs, so stock levels and cost entries stop being retyped by hand.

You get a fixed written quote after the goods-flow review, not a vague day rate. Payment is split into stages, and each stage falls due only after you have tested that stage yourself on a live test server.

- Staged construction: we build module by module on a test server you can log into any time, starting with stock and receiving so your team is entering real data early instead of waiting for a big reveal.
- Counting rehearsal: before go-live we run a real stocktake of one warehouse inside the system, with your staff and your scanners, and fix whatever the rehearsal exposes.
- Cutover and transfer of everything: opening balances are loaded from your verified count, the system goes live, and on final payment the source code, database and server accounts become your property under the contract.
Frequently asked questions
Our stock records are in Excel and they are messy. Can you migrate them?
That is the normal starting point, not an exception. We clean and import your item master and opening balances as part of the project, but we insist the opening quantities come from a physical count, because migrating wrong numbers just automates the mess.
Do we need special barcode hardware?
No. The system works with ordinary USB and Bluetooth scanners you can buy locally, and phone cameras cover occasional counting. If your items carry manufacturer barcodes we use those; otherwise the system prints its own labels.
Who owns the system when the project ends?
Everything passes to you on settlement of the final invoice: source code, database, designs and the server accounts it runs on. That transfer is a written clause in the agreement we both sign before work begins, and the Trust Center page makes that public.
Our stock data is commercially sensitive. How do you handle that?
An NDA goes in place before a single spreadsheet reaches us. During the build, the test server is access-controlled, and at handover we remove our own access unless you keep us on a support agreement.
Can it connect to our accounting software?
In most projects, yes. If your package exposes an API we post stock movements and cost entries to it directly; if not, we generate import files your accountant loads. We confirm which route applies during the scoping stage, before quoting.
