Pharmacy Management Software Built Around Expiry Dates, Batches and the Counter Queue

For pharmacy owners and small chains who are tired of finding expired stock on the shelf after it is too late to return it.

Walk the shelves of most pharmacies and you will find money quietly dying on them: short-dated packs nobody flagged, batches that could have gone back to the supplier last month, stock sitting in branch two while branch one orders more. Generic retail POS products treat expiry and batch tracking as a checkbox feature, because a shoe shop never needed it. We build pharmacy systems where the batch is the core record, not an afterthought bolted onto a sales screen. Cairo engineering team, working since 2014, delivering remotely to Saudi, UAE and Gulf pharmacies with published pricing and a contract that hands you the code.

Counter Speed First

Barcode scan, quantity, tender, done. We test the sales screen with a stopwatch during acceptance, because a queue of five people at 9pm is your real benchmark.

Expiry and Batch Discipline

Every unit in, every unit out, tied to a batch and an expiry date. The system nags you about short-dated stock while a supplier return is still possible, not after.

Multi-Branch Stock

Live quantities per branch, transfer requests with approval, and one consolidated view for the owner. No more phoning the other branch to ask what they have.

Your Property When Paid

Source code, database and server access all pass to you on settlement of the final invoice, and the agreement states this in plain terms. No licence fees per branch, ever.

What a Pharmacy System From Us Includes

Sales Counter (POS)

Scan-first selling with FEFO picking (first expiry, first out) suggested automatically, split payments, returns against the original invoice, and shift-close reports per cashier.

Expiry and Batch Engine

Batch-level stock cards, configurable near-expiry alerts (90, 60, 30 days or your own thresholds), and a supplier-return worklist so short-dated stock leaves before it becomes a write-off.

Purchase Orders and Suppliers

Reorder suggestions from actual sales velocity, PO approval, goods receipt that forces batch and expiry entry at the door, and per-supplier price history so you negotiate with numbers.

Controlled-Items Register

A separate, locked log for scheduled and controlled medicines: who dispensed, when, against which reference, with an audit trail nobody can edit quietly. Built to match your local inspection requirements.

Branch Transfers

Request, approve, dispatch and receive between branches, with batch identity preserved through the move. Stock never goes vague in transit.

Owner Dashboard

Daily sales per branch, dead stock, near-expiry value at risk, and gross margin by category, on your phone. The numbers you actually check, not forty reports you never open.

How the Project Runs

  1. First conversation: you walk us through your counter flow, your supplier routine and your branch setup; we ask the awkward questions about how expired stock gets handled today.
  2. Requirements document: we write down every screen, report and rule (including your controlled-items obligations) with acceptance criteria, and you approve it before any code exists.
  3. Sprint builds: the system grows on a test server you log into from week two or three; your head pharmacist tries real workflows and we fix friction while it is cheap to fix.
  4. Data migration and training: we import your item master, batches and balances from your current system or spreadsheets, then train each branch on their own data, not demo data.
  5. Go-live and warranty: we switch over on a quiet day you choose, stay close for the first weeks, and hand over code, credentials and documentation once the final payment clears.

Frequently asked questions

Our current POS already has an expiry field. Why is that not enough?

A field is not a workflow. If nothing forces batch entry at goods receipt, blocks sale of expired units at the counter, and pushes short-dated stock onto a return list while the supplier still accepts it, the field is decoration. That whole chain is what we build.

Can you handle controlled and scheduled medicines properly?

Yes, and it is scoped per country, since Saudi, UAE and other markets each have their own rules on what must be logged. We build the register to your local inspection format, with dispensing records that cannot be silently altered.

We have three branches on different systems. Can you migrate all of them?

That is a normal starting point for us. We map each branch's item codes to one clean master list, import balances with their batches and expiry dates, and run the branches in parallel on the test server before anyone switches.

Who owns the system afterwards, and are there monthly fees?

Settle the last invoice and the code, the database and the designs are yours outright, written into the agreement. There is no per-branch licence and no forced monthly fee; if you want us for hosting and support we quote that separately and you can decline it.

You are in Cairo. How does support work for a Gulf pharmacy?

Remotely, and faster than you might expect: Cairo sits one time zone away from Saudi and the UAE, so we work your business hours and take calls when your counter is actually busy. Since 2014 most of our Gulf clients have never needed us on site.

Tell Us Where the Stock Bleeds

Send us your branch count and your current setup on WhatsApp. We will come back with a straight opinion on scope and a written quote, and we will sign a confidentiality agreement before you share any supplier or sales data.
