A Clinic Management System Your Clinic Actually Owns

Appointments, reminders, patient files and billing reports, installed on your server, not rented per doctor per month.

Ask your current software vendor one question: if you stop paying next month, what happens to your patient files? For most clinic SaaS products the honest answer is "they stay with us." We build it the other way around. Web Pioneer (Cairo, since 2014) delivers clinic management systems that run on the clinic's own server, with the source code, database and admin access transferred to you contractually on full payment. Appointment scheduling with automated reminders, electronic patient files, billing and revenue reports per doctor and per branch, and an optional patient mobile app. You see a staging link from the first weeks, and you sign off against written acceptance criteria, not promises.

Your Server, Your Data

The system installs on a server your clinic controls (cloud or on-premise). Patient records never sit in a third party's multi-tenant database.

Ownership in Writing

Source code, database and every credential transfer to you on full payment, stated in the contract. No per-doctor monthly fee, ever.

One Project Price

Business systems start from $3,000 for the core modules, paid in stages you approve one at a time. Most clinics end up paying 30-50% less than a comparable local Gulf quote.

Arabic and English, Properly

Bilingual interfaces with correct RTL are our native ground. Reception works in Arabic while your reports print in English, or the reverse.

What the System Covers

Appointments and Reminders

Calendar per doctor and per room, walk-in and booked visits, and automated WhatsApp or SMS reminders sent before each appointment to cut no-shows.

Electronic Patient Files

Full visit history, diagnoses, prescriptions, lab results and attached scans in one record. Search a patient by name, phone or file number in seconds.

Billing and Revenue Reports

Invoices, insurance vs cash tracking, and daily, monthly and per-doctor revenue reports the owner can read without asking the accountant.

Roles and Access Control

Reception sees the calendar, doctors see their own patients, the owner sees everything. Every sensitive action is logged with who did it and when.

Multi-Branch Ready

Run several branches on one system with separate calendars and separate revenue reports, plus a combined view for management.

Optional Patient App

An iOS and Android app where patients book, get reminders and view their visit summary. Built as a second phase so it never delays the core system.

Published Pricing (USD)

ScopePrice rangeTypical timeline
Core clinic system (appointments, patient files, billing)from $3,000typically 8-12 weeks

These are project prices, not subscriptions: you pay per milestone as modules are delivered and accepted, then the recurring cost is just your own hosting. A patient mobile app can be added as an MVP from $3,000-4,500 in a later phase.

How We Deliver It

  1. Scope call: we walk through your actual front-desk flow (booking, visit, payment, follow-up) on a call in your timezone, and an NDA gets signed before you share any patient-facing material.
  2. Written scope and quote: you get a fixed module list with written acceptance criteria and a payment schedule where each stage is released against a module you have tested, so both sides know exactly what "done" means.
  3. Build on staging: the system goes up on a private staging link early, and your reception and doctors click through real scenarios while we build, not after.
  4. Data migration and training: we import your existing patient list from spreadsheets or your current software where exportable, then train staff on the live system before switch-over day.
  5. Handover and support: on full payment the code, database and all credentials transfer to your clinic contractually, with a support period for fixes and staff questions.

Frequently asked questions

Where is the patient data stored?

On a server your clinic owns or rents in its own name: a cloud server in your preferred region, or a machine inside the clinic. We set it up, harden it and hand you every password. We keep access only as long as you want us maintaining it.

We already pay a monthly clinic SaaS. Can we move off it?

Usually. If your current provider allows exports (most do, at least for patients and appointments), we migrate the data into your new system as part of delivery. We review the export files with you before quoting so there are no surprises mid-project.

Is the patient mobile app included in the price?

It is a separate phase, priced from $3,000-4,500 as an app MVP over 8-12 weeks in most projects. We build the clinic system first so your staff runs on it daily, then connect the app to the same database. App store accounts and signing keys are opened in your name.

How do you handle confidentiality before we commit?

We sign an NDA before receiving any sensitive material, including sample patient data or internal pricing. Our commercial registration (206687, Cairo, since 2014), Trust Center and company record are published, so you can verify who you are dealing with first.

What happens after launch if something breaks?

Every project includes a support period for bug fixes at no charge. After that you can keep us on a light maintenance agreement or run it with your own IT; since you own the code and the server, that choice stays yours.

Stop Renting Your Patient Records

Send us your clinic's size and current setup on WhatsApp and we will reply with a module list and a fixed quote, usually within two working days.
