A Consultation Platform Under Your Own Brand: Booked, Paid, Then the Call Happens
For doctors, lawyers, financial advisors and coaching firms who want clients to pay first, meet on time, and keep their records private.
Here is an unpopular opinion from a team that has shipped this kind of product: the video call is the easy part. WebRTC infrastructure is mature and rentable by the minute. What actually decides whether a consultation platform survives is the trust plumbing around the call. The client pays before the session and the money sits held until the session actually happens. Session notes stay private to the two people in the room. No-shows get handled by a written policy the app enforces, not by awkward phone arguments. That is what we build first. The camera feed comes almost free.
Payment held until the session runs
The client pays at booking; the consultant gets paid after the session completes. We wire this capture-later flow into the gateway (Stripe, Tap, PayTabs, HyperPay) instead of charging blind up front.
Records that stay private
Session notes, uploaded documents and chat history are encrypted and scoped to the consultant and the client. Your admin panel sees bookings and revenue, not the content of a legal or medical conversation.
No-show policy in code
Late cancellation windows, partial refunds, automatic rebooking credits: you define the rules once in writing and the platform applies them the same way every time.
Arabic and English from day one
We have been building bilingual products since 2014, so the RTL side is engineered rather than bolted on: mirrored booking flows, Arabic calendars, Arabic invoices.
What a serious consultation platform actually needs
Scheduling that respects real calendars
Consultant availability with buffers, time zones handled correctly (your Gulf client and your traveling consultant see the same slot), and reminders over WhatsApp, SMS and push before the session.
Video and chat sessions
One-tap join from the reminder, in-call chat for links and files, and an automatic session timer tied to the paid duration. We build on proven video infrastructure rather than reinventing codecs.
Payments before the call
Card, Apple Pay and regional gateways, with the charge authorized at booking and settled on completion. Refund logic follows your cancellation policy automatically, with a paper trail for every dispute.
Session notes and follow-ups
Consultants write structured notes after each call; clients get a summary and can book a follow-up at a linked or discounted rate. Repeat sessions are where these platforms make their money.
Consultant and admin panels
Consultants manage availability, pricing and payouts; you see occupancy, revenue and ratings per consultant. Payout statements export cleanly for your accountant.
Verification and ratings
License upload and manual approval before a consultant goes live, plus post-session ratings that only verified paying clients can leave. Fake reviews kill trust faster than a dropped call ever will.
Published pricing in USD, before you send a single email
| Scope | Price range | Typical timeline |
|---|---|---|
| Consultation MVP: booking, pre-paid sessions, video calls, notes | $3,000 - 4,500 | typically 8-12 weeks |
| Mid-scope platform: multi-consultant, payouts, follow-ups, admin analytics | $4,500 - 8,000 | typically 12-16 weeks |
| Full practice platform: group sessions, subscriptions, deep integrations | from $8,000 | 16+ weeks |
These are the same figures we publish on our pricing page, not a teaser that doubles after the first call. Payment is split into stage payments, each one released against something you can open and test on a staging link.
How the build runs, week by week
- Intake call: we write down your consultation flow (who books, who pays, what happens on a no-show) and turn it into written acceptance criteria before any money moves; an NDA is signed first if you are sharing sensitive client processes.
- Trust plumbing first: weeks one to four go into booking, payment authorization and the cancellation engine, because that is the part that must be right before anyone joins a call.
- Video and notes: we then wire in the session room, chat and notes, and you run a real end-to-end test: book, pay, join, finish, get paid out, all on staging.
- Weekly builds on your phone: every week you install the current build and click through it yourself; problems get caught when they are a day old, not at handover.
- Store launch: we submit to the App Store and Google Play under your accounts, and once the final invoice is settled the code, designs and release credentials are yours by contract.
Frequently asked questions
Why not just use Zoom links and a shared calendar?
Plenty of solo consultants start that way, and honestly it works until money and no-shows enter the picture. The moment you have multiple consultants, pre-payment, refund rules and private records, glued-together tools leak revenue and client data. The platform exists to enforce policy, not to replace Zoom's camera.
Is the video call quality going to match the big telehealth apps?
Yes, because we rent the same class of video infrastructure they use rather than building our own media servers. Your budget goes into booking, payments and records, which is where your product actually differs from theirs.
How do you handle medical or legal confidentiality?
Session content is encrypted, access is limited to the consultant and client, and admin roles are deliberately blind to it. We also sign an NDA before you show us any internal procedures, and the data sits in infrastructure you own and control after handover.
We are in Riyadh and you are in Cairo. How does that work in practice?
Remote delivery with meetings scheduled on your clock, which is easy since Cairo sits one time zone away from the Gulf. You get a staging link and weekly builds on your own phone, so distance never means waiting in the dark. Delivery cost typically lands 30-50% under what local agencies quote for equivalent scope.
Who owns the platform when the project ends?
The client does, in the contract itself: source code, designs, the two store accounts and the release keys all move to you once the last stage payment clears. If you later hire an in-house team or another vendor, nothing about the platform is locked to us.
Tell us how your consultations should work
Send us your session flow in a WhatsApp message (even three rough sentences is enough) and we will come back with a scope in writing and a fixed price from the ranges above, and the first staging milestone.
