A Property Management System That Runs Your Portfolio, Not Just Lists It

Units, leases, rent, maintenance and owner statements in one system, in Arabic and English, hosted wherever you decide.

Most property managers we talk to in Dubai run their portfolio on three things: a rent spreadsheet, a WhatsApp group for maintenance, and someone's memory. That holds until it doesn't. A cheque bounces and nobody chases it. An owner asks for last quarter's statement and it takes two days to assemble. We build custom property management systems for landlords, managers and holiday-let operators: every unit, lease and payment in one place, a bilingual tenant portal, and the whole thing deployed on your own infrastructure rather than a per-unit SaaS meter. Web Pioneer has been building systems like this since 2014, delivering remotely to the Gulf with published pricing and written acceptance criteria before we start.

Multi-entity, multi-building

One login across separate owning companies, buildings and unit types, with consolidated reporting for you and clean per-entity statements for each owner.

Arabic + English tenant portal

Tenants raise requests and see their lease in either language. Bilingual RTL builds are home turf for a Cairo team; the Arabic side is designed, not machine-flipped.

Your data, your servers

We deploy on your VPS or cloud account. Tenant records, lease documents and payment history stay under your control, with no per-unit monthly fee attached.

Milestone pricing in writing

You pay stage by stage, and every stage is something you can open on a staging link before signing off. The total usually lands 30-50% under a comparable Dubai quote.

What the system actually covers

Units and leases

A register of every unit with its lease terms, documents and renewal dates. Expiry alerts fire early enough to renegotiate, not scramble.

Rent collection

Payment schedules per lease, cheque tracking, receipts, and automatic reminders before and after due dates. Online payment via gateways like Tap, PayTabs, Telr or Stripe can be wired in.

Maintenance requests

Tenants submit a request with photos from the portal, you assign it to a technician, and everyone sees the status. No more chasing threads in a WhatsApp group.

Owner statements

Income and expenses roll up per owner and per period, then export as a clean PDF statement. The report an owner asks for on Thursday afternoon takes seconds, not days.

Holiday lets beside annual leases

Short-stay units with nightly rates and cleaning turnovers can live in the same system as your annual contracts, so mixed portfolios stop needing two tools.

Roles and audit trail

Staff see only what their role allows, and every edit to a lease or payment is logged with who did it and when. Useful the day an owner disputes a number.

Property management system pricing (USD)

ScopePrice rangeTypical timeline
Core system: units, leases, rent collectionfrom $3,0008-12 weeks in most projects
Full multi-module: maintenance, owners, tenant portal$4,500 – 8,00012-20 weeks typically
Large integrated: multi-entity, accounting, APIfrom $8,00020+ weeks

A tenant or owner mobile app is a separate line item: a focused MVP runs $3,000 – 4,500 and typically takes 8-12 weeks on top of the web system. Every quote is broken into stages, each invoiced only after you have accepted the work behind it, and the code, designs and server credentials are yours in writing once the final stage is paid.

How we deliver it

  1. Scoping call: we map your portfolio (entities, buildings, unit types, and how rent actually gets collected today), then send a written scope with acceptance criteria. If your rent roll is sensitive, we sign an NDA before you share it.
  2. Data model and screens: you approve the structure and the key screens, in both languages, before a line of production code is written. Cheaper to argue over a mockup than a build.
  3. Build on a staging link: from the early weeks you get a staging URL and can click through real workflows as they land, module by module.
  4. Migration and pilot: we import your existing spreadsheets and run one building in parallel with your current process before you switch the rest over.
  5. Handover on your infrastructure: the system goes live on your own server or cloud account, and code, designs and credentials transfer to you on full payment.

Frequently asked questions

We manage properties for several owners under different companies. Can one system handle that?

That is the exact case the multi-entity design exists for. Each owning company keeps its own units, income and statements, while your team works from one dashboard with consolidated numbers. Owners only ever see their own portfolio.

Does it work for holiday lets as well as annual leases?

Yes, both can run side by side. Annual contracts follow lease schedules and renewals, while short-stay units carry nightly rates, booking calendars and cleaning turnovers. Mixed portfolios are common in Dubai and we scope for them from day one.

Where does our data live?

On infrastructure you own: your VPS, your cloud account, or a server we provision in your name. We do not hold your tenant and payment data hostage on our platform, and there is no per-unit subscription that grows as your portfolio does.

Can tenants pay rent online?

We can integrate regional and international gateways such as Tap, PayTabs, Telr or Stripe so tenants pay from the portal and receipts post automatically. If you collect by cheque or bank transfer instead, the system tracks those with reminders and reconciliation screens.

Who owns the system when it is done?

Everything, and in writing: once the final stage is paid, the source code, designs, database and every credential are handed to you. Our commercial registration (206687, Cairo, operating since 2014) and delivery terms sit publicly at /company/facts and /trust, so you can verify before spending anything.

Tell us how many units you manage

Send the basics (buildings, unit count, how rent comes in today) and you will get back a written scope, a fixed milestone quote and a realistic timeline. Meetings run on your clock; Dubai is an hour ahead of us, nothing more.
